Who we are
Concierva is a product of SYNTRANOVA AL LTD, a company registered in Cyprus under number HE 485824, with its registered office at Nikis 1, Anthoupoli, 2350, Nicosia, Cyprus (“Syntranova”, “we”, “us”). We are the controller of the personal data described in this policy. You can reach us at hello@concierva.com.
This policy covers concierva.com, its live demo and the enquiries you send us. When a hotel, guesthouse or villa uses Concierva for its guests, the property is the controller of its guests' data and we process that data on its behalf, under a separate data processing agreement.
What we collect
- Enquiries and early access. Your name, email, phone number, property name, the channels and systems you use and anything you write to us.
- The website chat. The messages you type and a random session identifier. If you leave your contact details in the chat, we receive them together with the conversation.
- The voice demo. When you start a voice conversation, your voice is processed in real time to understand you and to answer. We do not keep audio recordings; a text transcript of the demo is kept for up to 30 days, for quality and abuse prevention.
- Technical data. Our servers keep short-lived logs (IP address, browser, pages requested, time) to keep the website secure and working.
- Visit statistics. We count visits with a privacy-friendly statistics tool that runs on our own server in the European Union. It uses no cookies, does not store IP addresses and only keeps aggregated figures: pages viewed, the site you came from, device type, browser and country. If your browser sends “Do Not Track”, the visit is not counted.
- Google Analytics, only with your consent. If you click “Accept” in the small notice at the bottom of the page, we also use Google Analytics 4 to see which pages are useful. It sets the cookies
_gaand_ga_9NMHFDH97H(kept up to 13 months) and records pages viewed, approximate location (country and city), device, browser and the site you came from. Google signals and advertising features are switched off. If you click “No, thanks” or ignore the notice, Google Analytics does not load at all.
Why we use it, and on what basis
- To answer you and prepare an offer: steps taken at your request before a contract (Art. 6(1)(b) GDPR).
- To run the demo, keep the website secure and improve it: our legitimate interest in showing and protecting our service (Art. 6(1)(f) GDPR).
- Google Analytics: your consent (Art. 6(1)(a) GDPR and the ePrivacy rules on cookies). You can withdraw it at any time with “Cookie settings” at the bottom of every page.
- To send you news about Concierva, only if you asked for it: your consent (Art. 6(1)(a) GDPR), which you can withdraw at any time.
Who receives it
We do not sell personal data. We share it only with service providers who process it on our behalf and under our instructions: hosting providers in the European Union, artificial intelligence and voice technology providers that generate the answers in the chat and in the voice demo, an email delivery provider in the European Union and, only if you accept analytics cookies, Google Ireland Limited (Google Analytics). Some technology providers are located in the United States; such transfers are protected by the European Commission's Standard Contractual Clauses or by the EU–U.S. Data Privacy Framework. These providers may keep the data they process for up to 30 days, for security and abuse monitoring, and do not use it to train their models.
How long we keep it
- Enquiries and contact details: up to 24 months after our last exchange, unless we start working together.
- Website chat sessions: up to 24 hours in our system; leads you send through the chat are kept as enquiries.
- Voice demo transcripts: up to 30 days; no audio is kept.
- Server logs: normally no longer than 90 days. Aggregated visit statistics contain no personal data and may be kept longer.
- Google Analytics: the
_gacookies expire after 13 months; event data is kept in Google Analytics for at most 14 months.
Your rights
You can ask us for access to your data, to correct or delete it, to restrict or object to its use, and to receive it in a portable format. Where we rely on your consent, you can withdraw it at any time. Write to hello@concierva.com; we answer within one month. You also have the right to complain to the Commissioner for Personal Data Protection in Cyprus (dataprotection.gov.cy) or to the data protection authority where you live.
Security and children
We protect data with encryption in transit, access controls and providers chosen for their security. Concierva is a service for businesses and is not directed at children under 16.
Changes
We may update this policy when our service changes. The date at the top shows the latest version.
