The midday rush: a full desk and a ringing phone

Check-ins, check-outs and a phone that will not stop: how to stop losing bookings in the busiest hours of the day.

Ask anyone who has worked a hotel desk when the hardest hour is, and few will say the middle of the night. They will say late morning, or early afternoon: guests checking out, the first arrivals asking if their room is ready, a taxi to call, a question about the bill, and the phone ringing in the middle of all of it.

That is the hour when good hotels lose bookings without noticing.

Two guests, one person

The receptionist always has to choose. The guest standing at the desk is real, present and impatient. The phone is a stranger. So the phone rings out, or it is answered with “could you call back in ten minutes?”. Most people do not call back. They open the next hotel on the list.

The same happens in writing. A message arrives on Booking.com asking about parking, another on WhatsApp asking about an extra bed. Each takes a minute. In the rush, a minute is exactly what nobody has, and the replies slip to the evening.

The guest in front of you deserves your full attention. So does the one on the phone. One person cannot give both.

Protect the person at the desk

The answer is not to make your team faster. It is to take the repetitive work away from them during the hours when they are needed most at the counter:

  • Questions with a fixed answer: parking, breakfast hours, check-in time, directions, pets. These do not need a person.
  • Availability and prices: if the calendar and rates are correct, a free room can be offered and booked without anyone leaving the desk.
  • Everything else: a clear note, with the guest's name, dates and request, waiting for the moment the desk is quiet.

Plan the rush, not just the night

Most properties think about cover for the night shift. Far fewer plan for the busy hours of the day, even though that is when the phone rings most. Look at when your calls and messages actually arrive. You may find that the gap is not at 02:00 but at 11:30.
