In a villa or an apartment there is usually no desk at all. The check-in happens on the guest's phone: a code, a door, a set of directions. When those arrive at the right moment and in the right order, the stay starts without a single phone call.

The right message at the right moment

Most of the trouble with self check-in comes from timing: too much information too early, or the code at the last minute. A simple sequence works well:

  • After booking: a short welcome, the address and what to expect. No codes yet.
  • A few days before: arrival time, parking, how to find the entrance, a photo of the door.
  • On the day of arrival: the key-box or door code, and who to write to if something goes wrong.
  • After check-in: the Wi-Fi, the house rules that matter most, and a local tip or two.
  • Before check-out: the time, where to leave the keys, and a thank-you.

Keep codes safe

Send codes only to the guest who booked, only on the day of arrival, and change them between stays where you can. A code sent a week early is a code that can travel.

Good self check-in feels like someone is expecting you, even when nobody is there.

Why WhatsApp

Guests already use it, it shows photos and locations well, and a reply is one tap away. Keep in mind that WhatsApp Business only allows you to start a conversation with approved message templates when the guest has not written to you in the last 24 hours, so plan your sequence with that in mind.

Answer the questions that follow

Even with perfect messages, guests will ask: the heating, the bins, a restaurant nearby. Those questions arrive at any hour, often from a guest standing in front of a door.
