  • “We're running late, probably 23:30. Is that a problem?” “Not at all, Mr Walsh. Check-in is self-service, so you can arrive whenever suits you. The key box code will reach you on the morning of your arrival, and the outside lights come on by themselves.”

The house manual, answered one question at a time

Most villas have a house manual. Few guests read it from start to finish. They read the part they need when they need it, which usually means asking. An AI concierge turns the manual into answers: the guest asks about the dishwasher and receives the two lines about the dishwasher, not a link to twelve pages. Write the manual as you would explain the house while walking a guest through it:

  • Arrival and keys: how the code works, what to do if the box sticks, whether there is a spare key.
  • Heating, air conditioning and hot water: where the controls are and what normal looks like.
  • Pool, hot tub and barbecue: hours, safety rules, what the guest should clean and what you clean.
  • Rubbish and recycling: which bin, which day.
  • Departure: check-out time, where the keys go, whether to strip the beds.

The clearer the manual, the better every answer. Vague notes produce vague replies, whether a person sends them or software does.

Local tips from your list, not from the internet

Guests choose a villa partly for the place around it. A good host has opinions: the bakery that opens early, the beach that stays sheltered when the wind turns, the restaurant worth booking ahead. That is the most valuable thing a concierge passes on, and the easiest to get wrong if it comes from a generic search.

So a virtual concierge should recommend only from the list you give it. If a guest asks for a seafood restaurant in Kinsale and your list has two, it suggests those two, with your note on each. If your list has nothing, it says so honestly and offers to ask you. It should never invent a place, an opening time or a phone number.

The best local tip is the one the host would give in person.

Problems go to the host, with a summary

Some messages are not questions at all. A leak, a boiler that has stopped, a neighbour complaining about noise, a guest who wants money back for a rainy week. These need a person, and the concierge's job is to recognise them quickly and hand them over clearly: who the guest is, which property, what happened, what has already been said.

The guest receives an honest holding message, for instance: “Thank you for telling us, Mrs Keane. I have passed this to Sarah, your host, with all the details, and she will contact you shortly.” The host receives the summary on their phone and does not have to scroll back through the conversation. Cancellations, refunds, payments and complaints should always follow this path, on every property you manage.
